State Reports

A State Report is a periodic, authored status update. It is the primary tool in GreenVee for communicating how a project, program, or portfolio is doing at a point in time.

State Reports are documents that a person writes. They are not auto-generated summaries. The act of writing a State Report requires judgment — which is exactly why they are valuable.

Fields

Title	Name of the report (e.g. “Sprint 12 Status” or “Q2 Portfolio Review”)
Actions	Free-text notes on key actions relevant to this report
Decisions	Free-text notes on open or recently resolved decisions relevant to this report
Created Date	When the report was first created
Updated Date	When the report was last modified

Note

Actions and Decisions are plain text notes, not structured links to Decisions or Risk/Opportunity Actions. Use them to summarise, in your own words, what is happening — GreenVee does not pull in or reference the actual Decision or Action records here. If you want a stakeholder to see the full record, mention it by name in the text.

State Assessments — the RAG scores

Inside every State Report, you can add one or more State Assessments. A State Assessment is a rated dimension — a specific area of the project or portfolio evaluated with a traffic-light score.

Field	What it means
Type	The dimension being assessed (e.g. Schedule, Budget, Scope, Resourcing, Quality)
Value	The RAG rating — red (serious issue), yellow / amber (concern), green (on track)
Comment	Written explanation of why this rating was given

A State Report typically has several State Assessments — one for each dimension you want to communicate. A project with five dimensions (schedule, budget, scope, team, quality) would have five State Assessments in each report.

Scope — where State Reports live

State Reports can be created at three levels:

Level	Use it for
Project	Regular status updates on a single project — weekly, fortnightly, or per milestone
Program	Roll-up status across a group of related projects
Portfolio	Strategic status review covering the entire portfolio

State Reports and Decisions

The Decisions field on a State Report is a free-text note, not a link to the Decisions list. Use it to summarise open or recently resolved decisions in your own words. This surfaces unresolved questions in your status communication, making them visible to stakeholders — but readers won’t be able to click through to the actual Decision record from here.

State Reports vs. Insights

State Reports are authored documents stored as records. Insights are live-computed charts and dashboards. They are not the same. See Reports vs. Insights for the full comparison.

For Project Managers

State reports are written by you — they are not auto-generated. Schedule time to write them at a consistent cadence (e.g. end of each sprint or before each steering committee). A short, honest report with accurate RAG scores is more useful than a long report that undersells problems.

Use the comment field on each State Assessment. A red status with no comment leaves stakeholders guessing.

Caution

Marking everything green when problems exist is a governance failure, not a kindness. State Reports are the paper trail for how a project was managed. Inaccurate RAG scores undermine trust and make post-project reviews harder.
